Assistant for Educational Meetings and the Medical Department
The role
We are looking for a motivated and well-organized Assistant for Educational Meetings and the Medical Department to join our team in Germany. In this role, you will coordinate the organization of medical training courses and educational events while providing administrative support to our Medical Department. This position combines strong organizational and communication skills with a structured, detail-oriented approach to managing both live and digital educational activities.
Key responsibilities
- Plan and organize training courses (in collaboration with an external agency when needed), including correspondence, CRM documentation, and location scouting.
- Manage participants and speakers for training sessions.
- Handle accounting tasks, including invoice verification and cost tracking.
- Prepare and manage contracts related to educational activities.
- Submit applications for CME (Continuing Medical Education) accreditation.
- Create training invitations and digital registration forms.
- Provide technical support and post-event evaluation for webinars and virtual trainings.
- Offer administrative support to the Medical Department as needed.
Your profile
- Completed training as an office communications clerk or similar qualification.
- Professional experience in event management (e.g., in an event agency or hotel); experience with digital training tools and webinar platforms is an advantage.
- Excellent organizational and planning abilities, with strong attention to detail.
- Outstanding written and verbal communication skills, both internally and externally.
- Open, collaborative mindset with willingness to work in an interdisciplinary and international environment.
- Confident use of standard software tools (Outlook, Word, Excel, OneNote, SAP, PDF editors).
- Experience with CRM systems (e.g., Veeva) preferred.
- Fluent German (both written and spoken)
- Very good English skills (both written and spoken).
- Willingness to travel for business as required.
